Yes. PHI is encrypted in transit (TLS) and at rest with managed KMS keys, access follows least-privilege principles, and every action is recorded in an append-only audit log. Case access is permissioned per case and revocable.

Always. Aequitas drafts each part of the report with AI, but the examining physician edits every section and applies their signature. No report is final until the physician approves it — the medical opinion is theirs.

Fidelity to the file is the whole point. Aequitas never asks the AI to “read a PDF” — it extracts the actual text (a real text layer, or OCR) and grades each scan, flagging low-confidence ones to verify against the original. Drafting is grounded strictly in that text, with numbered citations you can click to open the exact source document. And before you sign, a source-fidelity check re-verifies every factual claim — dates, diagnoses, findings, and measurements — against the records, flagging anything they don’t support or that they contradict. You still review and sign, but the platform makes it easy to confirm every statement traces back to the file.

Case records are typically scanned PDFs, including faxed or photographed documents. Aequitas OCRs every page automatically so the content becomes searchable and citable, regardless of how the records arrived.

Law firms get their own secure portal. From it a firm connects with its physicians, submits report requests, shares records, schedules depositions, and downloads the signed report when it’s ready. Access to any case’s files stays scoped per case, fully logged in the audit trail, and revocable at any time — and a firm only ever sees its own requests. (Physicians can also grant a per-case attorney read-only access to a single matter.)

Yes. As part of a case, a firm can request a deposition date and time; the physician can accept, decline, propose an alternative time, or ask the office to call to schedule. The firm attaches the relevant documents and a note on the purpose, and the whole exchange is tracked on the case.

Yes. Everything you send for one client on one claim — every report request, every deposition, and all the records — is grouped into a single case, even when it spans more than one physician practice. From the case you see each report and its status, the combined document set, and the tools below.

For plaintiff/claimant firms, each case has a Letter-of-Protection ledger: record what each provider is owed (charges) and what draws it down (payments, reductions, write-offs) for a running balance. A built-in settlement calculator models net-to-client from a proposed settlement, your fee, case costs, and the LOP payoffs — and lets you try a reduction on each LOP before you negotiate. It’s case bookkeeping to help you model settlement, not a payment system.

Yes. From a case you can assemble a demand package — a demand letter, the medical-specials summary from your LOP ledger, and the signed physician reports merged into a single PDF, with an optional AI-drafted narrative you review and edit. Share it with the carrier over a secure, read-only link they can open without an account; you can see how many times it’s been viewed and revoke access at any time.

Aequitas is built to align with HIPAA obligations and we sign a Business Associate Agreement (BAA). Our parent company, Kronos Group, maintains a SOC 2 Type II report covering the Aequitas platform, available under NDA on request.
